Administrative Assistant/Receptionist

POSITION SUMMARY 

The Administrative Assistant/Receptionist provides administrative support to the administrative team and faculty. Excellent customer service and administrative skills are required. An ability to multitask in a busy front office while keeping accurate records is essential. This position is responsible for supporting enrollment and student records, handling student health issues, fulfilling records requests, and maintaining immunization records. Strong proficiency and experience in Microsoft Word and Excel are required. Experience with Microsoft 365 and student management systems are a plus. 

 ESSENTIAL FUNCTIONS 

  • Greet and assist parents, visitors, students, and faculty members 
  • Track attendance for grades 1-12 
  • Tend student injuries and manage health issues 
  • Manage parent volunteers  
  • Organize field trips 
  • Maintain student records 
  • Work with Registrar/Operations Manager to maintain accurate student records, both paper and electronic 
  • Maintain supplies and cleanliness in the kitchen and front office 
  • Order supplies 
  • Serve hot lunch 

 KNOWLEDGE, SKILLS AND ABILITIES: 

  • Proficiency with computer software applications, Word, Excel, and Outlook 
  • Ability to work patiently with multiple interruptions 
  • High levels of organization and attention to detail 
  • Ability to maintain confidentiality 
  • Ability to work with children with warmth, sensitivity, and patience 
  • Must be able to clearly communicate with others to understand them and to be understood 
  • Ability to multi-task, meet deadlines, and manage priorities 
  • Must be able to effectively use a computer, telephone, and other office equipment to conduct business 
  • Must be able to lift at least 40 pounds from the floor to four feet above the floor 

 EDUCATION AND RELEVANT WORK EXPERIENCE: 

  • Experience working in a small office environment 
  • High School diploma required; college degree preferred 
  • Experience and enjoyment working with children is a plus 
  • Position requires successful background checks and authorization to work in the U.S.

$18.50 to $20.00 /hour, plus partial remission
